Privacy Policy

A plain-English account of what we do with your data when you ask us to repair a door or browse this website. Last updated 14 April 2026.

1. Who we are

Hyvora Door & Window Solutions Ltd. ("Hyvora", "we", "us") is the data controller for the personal information described in this policy. 2. What we collect

We collect only what is necessary to quote, schedule and complete the work you ask us to do. The categories below describe the full picture.

  • Contact details — name, email, phone number and postcode, supplied by you when you fill in the contact form, send an email, or call the office.
  • Enquiry content — the description of the job, any photographs you send, and any subsequent correspondence about scheduling and pricing.
  • Service records — once the job is booked we record the address, the engineer assigned, the parts used, photographs of the finished work, and the invoice number.
  • Website analytics — non-identifying technical data such as browser, viewport, the page you arrived at, and how long the page was open. We do not run advertising or third-party tracking scripts.

3. The legal basis for processing

We process your data on three grounds. Most of it is processed on the basis of contract: we cannot quote or carry out a repair without your contact details and a description of the job. Some of it is processed on the basis of legal obligation: HM Revenue and Customs requires us to retain invoices for six years. A small amount is processed on the basis of legitimate interest: keeping anonymised analytics so we can tell which pages of this website are useful.

4. Who we share it with

We share your data only when we have to. The list is short:

  • Our hosting provider, who stores the website and the contact-form mailbox.
  • Our accountant, who needs invoice and customer detail to file annual returns.
  • HM Revenue and Customs, where required by law.
  • An insurer, in the unlikely event of a workmanship dispute that goes to claim.

We do not sell, rent or pass your data to marketing networks.

5. How long we keep it

Enquiry-only correspondence is deleted six months after the last contact unless a job has been booked. Customer records are retained for six years from the invoice date, in line with HMRC's requirement. Photographs of finished work are retained indefinitely as job evidence, but tied to a job number rather than to your name once the file is closed.

6. Your rights

You have the right to ask for a copy of your data, to ask us to correct it, and — outside the HMRC retention window — to ask us to delete it. You also have the right to object to our processing of your data in some circumstances. Email [email protected] with your request and we will respond inside the statutory thirty days, usually faster.

7. Cookies

8. Complaints

If you are unhappy with how we have handled your data, please raise it with us first — we will work hard to put it right. If we cannot resolve it, you can complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk.

9. Changes to this policy

We update this policy from time to time. The version date at the top of the page reflects the most recent revision. Material changes will also be flagged on the home page for thirty days.
